Vice President, Library & Archives

DUTIES:
The Vice President of Library & Archives is a full-time position responsible to the President & CEO for the administration of library functions throughout the Western Reserve Historical Society (WRHS) and the growth, use, and maintenance of its collections, for coordinating the activities of and managing the assigned 15 full-time and part-time staff members, for creating and managing fundraising initiatives, and for assuring that programs operate responsibly and within the limits of the approved $1.2 million budget.

With the retirement of the current President of the Library & Archives, the Western Reserve Historical Society is looking to fill this position on or before December 31, 2008.

QUALIFICATIONS:
Candidates must have professional level experience of at least ten years in a research library, archives, or manuscripts repository including at least five years of significant administrative experience. Experience must also include demonstrated knowledge in automation and on-line access to archival/library resources and candidate must possess proven leadership skills and success in fundraising & project management, along with excellent communication skills. An ALA-accredited degree in library and information science (archival concentration preferred) or advanced degree (Ph.D. preferred) in American History or related field is required.

Vice President, Finance & Administration

DUTIES:
The Vice President for Finance & Administration is the organization’s chief administrative and financial officer, responsible for directing and coordinating systems related to four vital systems underpinning the Western Reserve Historical Society’s organizational functions: financial management, information systems and technology, human resources, and facilities administration. He/she will maintain responsibility for the full execution and oversight of WRHS budget and financial controls; personnel and benefits policies and protocols; IS/IT planning, budgeting, and systems implementation and maintenance; and facilities administration (buildings and grounds maintenance and security and office systems). The organization’s current operating budget is $4.7M, of which 41% is derived from fundraising and 21% from endowment and third-party trust income.

The Vice President for Finance & Administration reports to the President/CEO and will work closely with him/her in making on-going fiscal operational decisions. He/she will serve on the Senior Management Team of WRHS and will staff three board committees focused on financial management: the audit committee, finance committee, and investment committee.


QUALIFICATIONS:
Candidates must have at least a Master’s degree in management, finance, or related subjects and have a record of success in financial management, including fund accounting and management reporting, managing audits and reporting to private and governmental funders, specifically in a not-for-profit environment. Additionally candidates must have a proven track record as a capable manager, experience in middle- and long-range planning, and demonstrated skill at working effectively with the CEO and senior level managers. This position also requires excellent writing skills, the ability to prioritize and multi-task, a knowledge of IS/IT systems and management, and a down-to-earth personal style coupled with high standards of performance.

System Administrator

DUTIES:
- Implements, administers, operates, and maintains Society computers and computer networks, including:
1. Library and museum automation systems, financial systems, and office workflow systems operating in a LAN environment
2. Remote site systems and networks in a Society-wide WAN environment
3. Internet connections and World Wide Web site
4. Telephone and voicemail systems
- Develops and administers internal system and user policy, procedures, and training, which includes:
1. Security administration
2. Backup and other procedures to ensure data integrity
3. Standardization of operations across networks
4. Maintenance of computer equipment inventory
5. Support for basic applications

-Serves as liaison with software and hardware vendors, assisting in communication of problems that arise and developing solutions to those problems.


QUALIFICATIONS:
Education: Bachelor’s degree in Computer Science or Engineering
required. MCSE preferred.
Experience: One year’s employment in business or nonprofit agency highly preferred. Experience with Window’s operating system and network hardware/software required. Experience with HTML, Web, and Windows NT systems preferred.

Office Assistant / Reservationist, Hale Farm and Village

DUTIES:
Handles incoming phone calls and visitors to the HFV office in a friendly and professional manner.  Serves as the primary reservationist for all programs that require pre-registration, including school field trips, Holiday Lantern Tours, Farmhouse Suppers, Underground Railroad, craft and trade workshops, etc. Maintains all registration databases. Prepares and mails out confirmation materials to program participants.  Maintains the monthly in-house calendar of events.  Other duties as Assigned 

QUALIFICATIONS:
High school diploma and at least 1-3 years experience in a similar position.  Professional appearance and excellent written and verbal communication skills.  The ability to handle multiple tasks under tight deadlines and attention to detail is a must.  A working knowledge of Microsoft Office, Excel, Access, and familiarity basic office equipment is required. Ability to work in an office environment requiring confidentiality, tact, honesty, and professional appearance are required.

Hale Farm Sales Associate

Part-time; non-exempt from overtime compensation
Responsible to the Hale Farm Sales Manager for assisting with the operations of the gift shop including front line sales and customer service, accuracy, and profitability.

DUTIES:
- Works with Sales Manager to coordinate sales and merchandise receipts.
- Assists the Sales Manager to manage the point of sale system for the store, keeping consistent with the guidelines of WRHS;
- Implements an effective visual presentation of merchandise including appropriate signage:
- Maintains a clean, safe work environment, including store, café, and common areas.
- Maintains fixtures and equipment.
- Works with Sales Manager to maintain professional and attractive signage and promotional windows.
- Works with Sales Manger to maintain effective merchandise presentation.
- Maintains a high level of customer service

Hale Farm & Village, Farmer 

The Farmer is responsible to the Director of Hale Farm & Village for the
health and safety of all HFV livestock and to ensure that they are effectively viewed and educationally interpreted for all visitors.  Care for the farm buildings, machinery, fields, and gardens. Teach 19th century history to diverse audiences using a variety of techniques and educational themes; to provide exceptional customer service; to perform necessary maintenance duties on the Farm.  To supervise, coordinate, and to serve as a resource and role model to interpretive staff, volunteers, and interns.  This position is classified as full-time, operational and is non-exempt with regard to overtime compensation.

DUTIES:
1. Demonstrate 19th century skills, farm chores, and associated historical knowledge.
2. Care for the health, safety, cleanliness, and breeding schedule of all HFV animals.
3. Recommend and oversee the acquisition and disposal of livestock based on health, temperament and program requirements. 
4. Responsible for training all livestock, including draft horses and a team of oxen used in programming, and for the supervision and training of all personnel involved in the handling of livestock
5. Responsible for the scheduling, production and delivery of all agricultural programs used in demonstrations throughout HFV
6. Work on and interpret the 19th century farm, gardens, and animal husbandry to visitors of all ages.
7. Maintenance of fences, gates, feed troughs, barns, and outbuildings.
8. Provide to the visiting public with informative, accurate, and engaging information about Hale Farm & Village and 19th century agricultural history in the Western Reserve and America
9. Participate in the school tour program
10. Wear period appropriate clothing
11. Continually improve the historical authenticity of the environment.
12. Maintain the physical cleanliness of the agricultural program utensils and historic sites

QUALIFICATIONS:
At least 1-3 years experience in a living history farm operation, a degree in history, agriculture, animal husbandry, or related field.  The incumbent should possess a strong working knowledge of farm animal husbandry (horses, cows, sheep, goats, swine, chickens and fowl).  Farmer should have an understanding and experience with tools, farming, gardening, and general maintenance.  Experience with school tours, outreach programs, and special events are preferred.  The position requires working weekends and evenings, and a willingness to perform a wide range of responsibilities is expected. This position must actively support the museum’s mission, policies, and procedures, as well as demonstrate professional behavior, a positive attitude in working with the visiting public, dependability and reliability.  Farmer must show superior responsibility and supervisory skills.

Hale Farm & Village, Custodian 

DUTIES:
Responsible for keeping all Hale Farm & Village buildings, historic and modern, clean and presentable including but not limited to all private and public restroom facilities.  Routine cleaning and maintenance must be worked out in cooperation with the Manager of Facility Maintenance and the Chief Curator of the Western Reserve Historical Society.  Responsible for the continuous operation of HFV equipment and systems.  Responsible for stocking and inventorying all maintenance and operational supplies, including but not limited to staff and public restroom facilities.

QUALIFICATIONS:
Minimum of two years of experience in maintenance or a similar position.  Incumbent must have a positive attitude and appropriate appearance as many duties involve interaction with the visiting public.  Must have a good work record, with experience with building equipment and systems.
